2. Data We Collect
- Account and Billing Information: name, business name, contact details, payment details (processed securely via our payment provider), and subscription records.
- Call and Communication Data: caller ID, call time and duration, audio recordings, transcriptions, and call summaries.
- Website and Usage Data: IP address, browser type, cookies, and analytics data for improving our site.
3. How We Use Your Data
We use your data to:
- Provide and maintain the Agentsio service
- Manage accounts, billing, and subscriptions
- Respond to support requests
- Improve service reliability and performance
- Comply with legal obligations

4. Voice and AI Processing
Twilio (Telephony & Voice Processing)
Voice calls are handled through Twilio Inc., a secure cloud telephony provider. Twilio processes call audio, caller metadata, and transcripts solely for delivering the service.
Google Cloud (Speech Recognition & Synthesis)
Twilio uses Google Cloud to provide speech-to-text (STT) and text-to-speech (TTS) functionality. This means call audio and generated speech are securely processed by Google Cloud servers for conversion between speech and text. Google does not use this data to train public AI models.
OpenAI (Conversation Handling)
AI-generated responses and summaries are processed via the OpenAI API. Only relevant conversation context is shared. OpenAI does not use submitted data to train its public models and retains temporary logs only for operational integrity.
5. Legal Basis for Processing

6. Data Retention
- Account data: retained while active and up to six years after closure for accounting
- Call recordings/transcripts: Call Transcripts We do not store call audio. However, we retain automatically generated call transcripts and summaries so that customers can review previous calls as part of their account records. These transcripts remain available for as long as the customer’s account is active, unless deleted sooner on request. When a customer account is closed, all associated transcripts and call data are permanently deleted from our systems as part of the account removal process.
- Analytics logs: anonymised and retained up to 12 months

7. Data Sharing and Transfers
We share data only with trusted providers essential for operation:
- Twilio Inc. (USA) – telephony and routing
- Google Cloud (USA) – speech recognition/synthesis via Twilio
- OpenAI (USA) – AI dialogue and summarisation
- Stripe Payments UK Ltd – billing and payment processing
When data is transferred outside the UK, we rely on approved Standard Contractual Clauses (SCCs) to ensure adequate protection.
